1. GENERAL INFORMATION ON THE COLLECTION OF PERSONAL DATA

If processing is necessary to safeguard the legitimate interests of our company or a third party, and your interests, rights, and freedoms do not override those legitimate interests, Article 6(1)(f) of the GDPR serves as the legal basis.

3.2. Data storage duration and deletion

The personal data we collect, process and store is retained only for the time necessary for the specific purpose that requires storage. Once such purpose is no longer relevant, your data will be deleted or its processing will be restricted.

Right to be informed If you have exercised your right to rectification, erasure or restriction of processing with Loop, Logistics Operators, we will notify such correction, erasure or restriction of processing to all recipients to whom the personal data was communicated, unless this proves impossible or involves disproportionate effort (see Article 19 of the GDPR).

Right to data portability You have the right to receive the personal data concerning you that you have provided to Loop, Logistics Operators, in a structured, commonly used and machine-readable format. Furthermore, you have the right to transfer this data to another company without impediment from Loop, Logistics Operators under certain conditions (see Article 20 of the GDPR).

Right to object You have the right to object, at any time, to the processing of your personal data in accordance with Article 6.1.f) of the GDPR based on your particular situation (see Article 21.1 of the GDPR). As a consequence of the objection, Loop, Logistics Operators will cease processing your personal data, unless we can demonstrate compelling legitimate grounds for processing that override your interests, rights and freedoms, or the processing is necessary for the establishment, exercise or defense of legal claims.

5. VISITING THE LOOP WEBSITE AND CREATING LOG FILES

Each time you visit the Logistics Operators website, our system automatically collects data and information from your computer. Specifically, the following data is collected:

  • Information about your browser

  • Information about your operating system

  • Information about your Internet service provider

  • Your IP address

  • The date and time of your visit to our website

  • Information about the website from which your system accessed ours

  • Information about the pages your system accesses through our website

The data collected above is stored in log files within our system. This data is not stored together with other personal data.

The legal basis for storing the data and log files is Article 6.1.f of the GDPR. We have a legitimate interest in collecting and temporarily storing this information, as temporary storage of the IP address is necessary for the website to load correctly on your device.

Log file storage is performed to ensure the functionality of our website. Additionally, this data is used to optimize our website and ensure the security of our computer systems. No evaluation of log files is performed for marketing purposes. An exception is the information collected about your browser configuration, including checking your browser's language settings to display the appropriate language version of the Loop, Logistics Operators website.

The data is deleted or anonymized as soon as it is no longer necessary for the purposes mentioned here, making it impossible to associate it with you. If data is stored in log files, it is deleted after seven days.

 

6. NEWSLETTER

When creating an account, you have the option to subscribe to a free newsletter. With your consent, our newsletter will keep you informed about logistics updates, tips, events and services offered by Loop. The data you enter when subscribing to the newsletter is transmitted to us through the user interface. This usually includes:

  • Your name

We need your email address to send you the newsletter and verify your identity and consent.

We also store your IP addresses and registration and confirmation timestamps. This procedure ensures that your subscription is recorded and, if necessary, allows us to notify you of possible misuse of your personal data. The legal basis for this is Article 6.1.f of the GDPR.

We will delete your data as soon as you cancel your newsletter subscription or the newsletter ceases to be sent. You can unsubscribe at any time by revoking your consent with future effect. 6.2. Transmission to Third Parties

 

Our newsletters are distributed through Brevo, a newsletter management platform. We use Brevo's services under a data processing agreement.

Brevo may use pseudonymized data from recipients, which means the data cannot be linked to an individual user, to optimize or improve their services (for example, for technical optimization of newsletter delivery and presentation or for statistical purposes). However, Brevo does not use recipient data to directly contact them or share the data with third parties.

Brevo also processes your personal information in the United States under the EU-US Privacy Shield:

7. CONTACT WITH LOOP

PROCESSING BY LOOP

On our website we have enabled an email address that you can use to contact us. If you send us an email, we will store your email address as well as any other data you provide to us.

The legal basis for processing is Article 6.1(b) and (f) of the GDPR, as the contact may be the beginning of a contract, but LOOP also has a legitimate interest in processing your data to respond.

The data will be deleted once it is no longer necessary for the purpose of collection, and such deletion does not conflict with any legal or contractual archiving obligation. The conversation ends when it can be inferred from the circumstances that the issue has been resolved.

When sending your message, the following data may also be stored:

  • Your IP address

  • The date and time of your contact

This additional personal data is processed in order to prevent misuse of email communication and protect our computer systems. The additional personal data collected during the sending process will be deleted no later than 7 days after collection. The data is processed exclusively to manage the conversation. 9. USE OF GOOGLE ANALYTICS

The LOOP website uses Google Analytics, a web analytics service from Google, Inc. Google Analytics uses cookies to analyze your use of the LOOP website. The information generated by cookies about your use of the website is generally transmitted and stored on Google's servers in the USA. However, your IP address will be anonymized on our website, so it will be previously shortened within EU member states or other countries that are part of the European Economic Area agreements.

Only in exceptional cases will the full IP address be sent to Google's servers in the USA and then shortened. On behalf of the website administrator, Google will use this information to evaluate your use of the website, compile reports on website activity, and provide other services related to website usage.

For exceptional cases where personal data is transferred to the USA, Google adheres to the EU-US Privacy Shield: Privacy Shield.

The justification for using Google Analytics is found in Article 6.1(a) of the GDPR, where we obtain your prior consent, and in Article 6.1(f) of the GDPR, as LOOP has a legitimate interest in processing the data. We use Google Analytics to analyze and periodically improve the use of the LOOP website.

You can also prevent the collection of data generated by cookies related to your use of the website (including your IP address) by downloading and installing the Google Analytics opt-out browser add-on: Google Opt-out.

We will process your data only for as long as necessary for the purpose of collection (in this case, statistics and their evaluation). Data related to cookies and unique identifiers will be automatically deleted after 14 months. Data deletion once the retention period has expired will be performed once a month.

11. DISCLOSURE TO THIRD PARTIES

 

As a general rule, we only share your personal data with service providers, business partners, affiliated companies and other third parties within the applicable framework of data protection laws.
